Event Producer & Coordinator

Factory Tøyen is a brand new private workspace and cultural home on the East side of Oslo. We are looking for someone to help us reach our ambitions through the curation of events as our event manager. Our ambitions are grand, and we want to be the #1 destination for new ideas, inspired creatives, and thoughtful conversations. 

 

About the Role

As the Event Producer & Coordinator at Factory Tøyen, you will be our in-house social, cultural, and developmental curator; the person that makes sure our space is filled with life, learning, and inspiration. You need to be a keen networker, as we want to secure top-shelf speakers, industry leaders, and a range of other talented individuals and partnership businesses to host events and other activities at Factory Tøyen.

 

You will be responsible for overseeing the development, administration, and production of all aspects of internal and external events (including weekend events) at Factory Tøyen including planning, organizing, staffing, leading, and controlling event activities. The position is to oversee events, handle and delegate set-up and breakdown of function rooms, and take care of the customer in a timely, courteous, efficient, and customized manner. All functions are carried out to maintain an environment of teamwork. The person we are seeking is a self-starting, superbly organized person who loves to solve problems and produce successful and memorable events. 

 

You will work alongside a team of dedicated people at Factory Tøyen; a founder and General Manager with larger-than-life aspirations for where they want to take this concept. As this is a startup at heart, you need to be structured and reliable, as things will move fast and we are likely to break some things along the way.

 

Responsibilities include (but are not limited to):

  • Manage overall programming

  • Sales for private/external events (renting out our space)

  • Sales of tickets and marketing for our own internal events

  • Plan, curate, and follow-up internal programming

  • Manage event collaborations with our Partners

  • Manage collaborations with our members

  • Create and oversee budgets, work with sponsors, clients, and partners

  • Create reports, communicate learnings, post-mortems.

  • Make sure invites, marketing material, press releases, etc. are created and distributed in a timely manner

  • Work to create tangible takeaways for our events – e.g. books, pamphlets, goodie bags, etc 

  • Take an active role in the growth of the community

  • Recruit, interview, and select well-qualified staff, freelancers, and vendors in consultation with the team

  • Engage volunteers for appropriate program activities using established volunteer management practices

  • Supervise events production staff, freelancers, and vendors, by providing direction, input, and feedback

  • Monitor and approve all budgeted events expenditures

  • Invoice clients

  • Build reports according to OKRs and metric formats

  • Help generate new ideas for how to curate better membership experiences

  • Manage our membership platform and CRM systems

 

Experience & Requirements:

  • 3+ years of work experience from event production and/or management

  • Extensive knowledge of event production processes and technologies

  • Outstanding administration, project management, and budget keeping skills

  • Excellent communication skills, verbally and written

  • An intellectual curiosity to identify, understand and solve complex problems

  • Ability to connect well with people; warm and approachable.

  • Strong administrative experience; in-depth knowledge of computer systems, platforms, and functions.

  • Strong ability to handle fast-moving and stressful situations 

  • Experience in handling internal conflicts

  • Experience in marketing writing, social media, etc. is a plus
